The Customer Care Representative

is responsible for; sales scheduling and installer phone calls, loading sales orders and change forms, and billing contracts and jobs. It’s expected they are cross-trained on all department functions and assist others when necessary. The person in this position must be able to make independent decisions, accurately record data, and deal with confidential information. The Customer Care Representative

is also responsible for assisting the Department Manager with duties required for an efficient operation of the Department.


Set up new, takeover, resign, and add pro accounts

Verify that jobs, contracts, contacts, procedure pages, schedules, inspections, etc. have been loaded on correct customers and sites

Input customer update forms from independent sales reps


Schedule jobs with Reps at point of sale

Call customers and schedule installations by reviewing job backlog reports, using defined department priorities.

Confirm appointments with customers and add comments to the scheduling tool

Maximize installer production (target units, drive time, skill set) while balancing customer requests

Load event codes and zones and verify signals in monitoring while installers are on site

Accurately input installer labor units on jobs, and all job status updates, while clearing technicians

Billing / Audit

Verify contracts in MAS and match paper contracts

Bill jobs and start contracts after verifying signals and data are correct

Ensure ongoing review and correcting of data using the auditing reports and backlogs

Prepare Independent Sales Rep schedules for accounts receivable processing
